Service Terms

Terms for business subscriptions to Parting Portal.

These Service Terms govern access to and use of Parting Portal, a subscription software and communications service operated by Gentle Voice Group. By creating an account, starting a subscription, or using the service on behalf of a business, you agree to these Service Terms and confirm that you are authorized to bind that business (the Customer).

Accounts and Authorized Users

Customer must provide accurate signup, location, billing, and contact information; keep it current; protect account credentials; and limit access to authorized staff. Customer is responsible for activity under its accounts and must promptly notify us at support@gentlevoicegroup.com if it suspects unauthorized access.

Permitted Use

Customer may use Parting Portal for its lawful business operations, including funeral-home, mortuary-transport, and related death-care workflows. Customer may not use the service to break the law, infringe another person's rights, transmit malicious or deceptive content, interfere with the service, bypass access or usage controls, probe for vulnerabilities without written permission, or resell access unless we agree in writing.

The service is not an emergency-dispatch system and must not be used as the only way to reach emergency services. Automated content and workflow suggestions require appropriate human review; they are not medical, legal, tax, financial, or other licensed professional advice.

Subscriptions and Recurring Billing

Current products, quantities, one-time setup charges, recurring prices, taxes when applicable, and the amount due at purchase are shown during checkout. Subscription charges recur monthly until canceled. By completing checkout, Customer authorizes our payment processor to charge the selected payment method for recurring subscription fees and any separately authorized purchases or automatic refills.

Plan and location changes may change the recurring total. The checkout, Billing page, invoice, or other order confirmation controls the price and quantity for the transaction it describes. Customer is responsible for maintaining a valid payment method and paying charges when due.

Prepaid Voice Minutes

Automated Answering Service requires a separate prepaid voice-minute balance. Prepaid minutes are a usage purchase rather than part of the monthly subscription fee, are shared across the Customer's subscribed portfolio as shown in the product, and are consumed by answered voice usage. Calling service may pause or require a top-up when the balance is exhausted. If Customer enables automatic refill, Customer authorizes the displayed refill package to be purchased when the configured threshold is reached; automatic refill can be managed in Billing.

Activation and Setup Dependencies

A successful subscription checkout does not mean every communications feature is ready to receive calls. Dedicated phone-number activation includes a setup-team step and may depend on Customer supplying a valid area code, location and routing details, forwarding its published phone line, and completing any carrier or third-party requirements. Customer must confirm that the number is shown as ready in the dashboard before relying on automated call handling. Activation timing and number availability are not guaranteed.

Customer Content and Communications Responsibilities

Customer is responsible for the accuracy, legality, and appropriateness of its instructions, uploads, contact lists, routing rules, forms, website content, and messages. Customer must maintain all notices, permissions, consents, and other lawful bases required for its calls, recordings, transcriptions, texts, emails, marketing, data collection, and handling of personal or sensitive information.

In particular, Customer must give callers any legally required recording or transcription notice, honor communication opt-outs, and use SMS/MMS only with the consent required by applicable law and carrier rules. Customer must configure an appropriate path for urgent calls and independently verify transfers, schedules, prices, case details, and other consequential information before acting on it.

Data and Privacy

Our Privacy Policy explains how we collect, use, disclose, and retain information. Customer instructs us and our service providers to process Customer-provided data as needed to operate and support the selected services. Customer remains responsible for deciding what data its users may submit and for responding to people who exercise rights that apply to Customer's own records.

Third-Party Services

Parting Portal relies on third-party services such as payment processors, telecommunications carriers, phone-number and messaging providers, artificial-intelligence providers, hosting platforms, email providers, domain services, and other integrations. Their terms may apply to Customer's use of their services. Features may be delayed, limited, or unavailable because of third-party systems, carrier rules, network conditions, or events outside our reasonable control.

Suspension and Cancellation

Customer may manage or cancel a subscription through the Billing tools or by contacting support@gentlevoicegroup.com. A cancellation takes effect on the date shown in the billing workflow or written confirmation, which may be the end of the current billing period. Charges incurred before the effective cancellation date remain due. Any refund rights are limited to those required by applicable law or expressly stated in writing for the purchase.

We may limit or suspend access when reasonably necessary to address nonpayment, unlawful or abusive use, a security risk, harm to the service or another person, a third-party provider requirement, or a legal obligation. When practical, we will give notice and an opportunity to resolve the issue. We may terminate an account for a material breach that is not cured after notice, or immediately when continued access would create material legal, security, or safety risk.

Important Service Limitations

To the fullest extent permitted by applicable law, the service is provided "as is" and "as available." We do not warrant that it will be uninterrupted or error-free, that a particular phone number or third-party integration will remain available, or that automated output will always be complete or accurate. Nothing in these Service Terms excludes a warranty or liability that applicable law does not allow us to exclude.

To the fullest extent permitted by applicable law, Gentle Voice Group will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, business opportunities, or data. Our aggregate liability arising from the affected service will not exceed the amount Customer paid us for that service during the twelve months immediately before the event giving rise to the claim.

Changes to These Terms

We may update these Service Terms as the service or legal requirements change. We will post the revised terms with a new update date and provide additional notice when required by law. Continued use after updated terms take effect constitutes acceptance of the revised terms.
